This area of CommerceExpert/WebClerk is designed for the input of records during a trade show but can be used for any type of lead development. The input of the standard Customer information can be typed or imported.
Fields and uses
Company, Phone and Zip are in bold type face because they are used as "Search" fields. If you are in a record and wish to find another record, type all or part of the Company name, Phone or Zip code. CommerceExpert/WebClerk searches for the criteria entered and opens the record. If more than one record is found matching the criteria, a list of records opens.
Find duplicates is a feature used to help prevent multiple records for the same Lead. If you wish to search for duplicates activate the box and type criteria in one of the searching fields. If CommerceExpert/WebClerk finds records matching the criteria, they will be listed.
Individual is a box to activate if the "Lead" record does not have a Company name, but is dealing with an individual. In activating this box, when the variable "CustAddress" is used within letters and "SuperReports", the Company name is eliminated from the address. This avoids entering two lines with the same information.
Actions is a Popup menu. All the choices for Actions that are in CommerceExpert/WebClerk can accessed by the Popup menu. The Popup menu activates when you type an "Asterisk" (* )in the entry field and then press the "Tab" key. Actions can be typed in as well. If you type in part of a choice on the choice list (such as "ca" for call) CommerceExpert/WebClerk searches and fills in the first choice it finds (call 1). If the typed in action is not on the list at all, it accepts the newly entered action.
The actions choices are set up in the Admin dept > Records menu, or actions may be set up when the Popup menu is open using the "Up" and "Down Arrows".
Action Date is a field to type in the date to take further action with this Lead.
Action Time is a field used to assign the time of day for the next action.
Last Action can be assigned when an action occurs. Clicking on the "||" automatically enters today's date in this field.
Entered is automatically assigned when the record is created.
Ad Source is a Popup menu all your marketing efforts. You can assign the effort that brought you this Lead.
Record the internal Sales personnel assigned to this Lead in the Sales Name ID field.
Record the Rep organization assigned to this Lead in the Reps field.
Type Sale determines the Price Point Items are sold to the Customer. This is a default and can be changed for each Sale.
The Profile area contains Popup menu designed by the "User". These are the same profiles found in the "Customer" record.
Pressing the --> Order button creates a regular "Customer" record for the Lead and opens an Order record to be filled out.
Pressing the --> Customer button creates a regular "Customer" record for the Lead.
Press the --> Contact button opens the "Quick Search" dialog box to locate a "Customer" record for whom this Lead is to become a Contact.
Comment area is used for notation about this Lead or the actions taken.
The Date/Time button is used to automatically input today's date and time in the "Comment" field.
Scripts is a Popup menu which list all the "Script" records set up in CommerceExpert/WebClerk. When the desired script is highlighted the script opens. This is designed for tele-marketing.
Calendar and Time Popup menu's are used to assign a date and / or time to the action date and action time fields. The "Calendar" popup to the right of the "Scripts" button is for viewing.
Call Reports is an included layout. This feature is used to document various activities with the Lead or Customer.
