Assigning New Account Numbers
CommerceExpert/WebClerk software automatically assigns an Account number. It is assigned based on the Site ID.
Assigning the Account Number
Click on the “Change Box” in the "Customer’s" record. This allows you to modify the fields that are normally “Search” fields.
Double click on the original Account code, this highlights the Account code and you can now enter the new Account code.
Enter the appropriate Account number for the Salesperson. (The Salesperson is displayed in the "Customer" record in the field titled “Sales ID”).
Hold down on the “Option” key on your keyboard. Continue to hold until you press the “Tab” or “Return” key. A screen asking if you want to change the history (related files) to a new code appears.
Click “OK”. The Account number is now changed and all related records are attached to the new Account number. After you have put in the Account code, you need to change the "Service" record to reflect that it has been completed. While you are still in the "Customer’s" record choose : Actions menu > Relate Files .
On the "General" page of the "Customer" record you should see the "Service" record that was assigned to you for the assigning the Account code. Open the "Service" record by double clicking on it.
Click on the “Complete” box to mark the activity completed.
Click the “OK” button or use the “Enter” key to return to the "General" page. You may click the “OK” button or use the “Enter” key to return to the splash screen.
NOTE: Due to the activity of changing the Account code, the original list found when choosing “Show Customer…” will be lost when the Account code is changed. For this reason the steps must be taken again to locate the next "Customer" record to change.
