Service Department Billing
A "Service" Record is created for all service actions relating to a Customer. (See "QuickSteps for Creating Service Records".) A "Service" record should be created at the time the Service activity is scheduled. A report can be printed from the "Customer" record which shows the address information and service history for that Customer.
There are the following categories of "Service Slips":
Billing for time only
Billing for time and parts
Billing for parts only
Once all "Service Slips" are entered for each category:
Admin Dept > Tally Menu > Tally Tech Support to Invoices
Note: When this process is complete, an Invoice will have been created for each "Service" record with a "TS-" in the "Notes" field. The procedure ends with an Output screen of the created Invoices.
Invoices for time only may be printed and mailed, faxed , or emailed.
Make sure one copy is for the "Service Invoice" is forwarded to your Accounting dept.
Do not apply payments in CommerceExpert/WebClerk in the case of walk-in business. Stamp their Invoice paid and forward the check, cash, or credit card receipt to accounting.
"Service" should run the Credit Cards through for approval before the Customer’s Invoice is marked paid.
Invoices for time and parts must be opened so that the Line Items for the parts may be added. If the parts are billable to the Customer, add them to the Invoice the system created. Then print and send as normal. It is critical that the parts Prices and Costs are accurate when these Invoices are added to or created.
