Adding a Service Record
Adding a Service Record for a customer.
1. In this lesson we will be adding a Service Record for this customer that we put in the learning exercise of Adding a Customer. John calls back and asks us to send out a catalog to him. First we will have to find Johns company in our data base. We will need to be at the Sales Splash Screen. GOTO >> Depts >> Sales. This will put you at the Sales Splash Screen. From there we will have to GOTO >> Customers >> Find Customer. A window will open and we will be doing a search on your data base. Type Edina Company Club, hit Tab. This will bring you into a search and find the company that you are looking for.
Quick Tips: The fewer letters you type in the company field the more extent your search will be.
In the lower half of the Find Customer screen your choice of company will appear, double click on Edina Country Club. This will bring you into the Customer General page.
After completing the call with John, we want to ensure that he gets the catalog that he requested. This is done by adding a "Service" record. In this example the mail has gone out for today and the catalog is to be sent tomorrow. Double Click in the "Service Record" section of the "General" page.
A new "Service Record" page opens or you can Add A Service Record by going to Review >> Add Service Record.
When you have open up your customer record it will automatically fill in the company information for you. We will need to fill in the bottom half of the screen to full fill John's order.
The Attention will fill out with the company name. Tab, this will bring you to the timer, you can click on the "+" or "delta" keys to start timing how long you have talked to this person or how long it took to full fill the service record. We aren't going to be using the timer in this exercise.
Tab, you don't need to check this box until the request has been full filled.
Tab, we can leave the date Entered alone. This date will show the date the Service Record was entered.
Tab, put 2 in as the Duration. This will change your Act Date.
Tab, Click on the pink downward arrow and set the time 9:30 AM
Tab, leave the completed field alone. This will fill in when you check the check box for Status Complete.
Tab, Click on the word Name ID, in the pop up pick the name Goodman. If this was your data you would assign the name of the person who you want to full fill the Service record.
Tab, Click on the word Action, pick send catalog.
Tab, Click on the word Note Type, pick phone call.
Tab, type in phone book.
Tab, Click on the word Process, pick delivery.
We will not be doing anything with Attribute and Cause in this lesson.
Click on the Date/Time stamp and put in this message, "We need to get this catalog out."
The other fields in the "Service" record are not used in this example. Click on "OK" to save and exit the record.
