Listed Item Records
The listed "Item" Records area is where the found records are displayed.
The T column will contains a bullet "•" symbol next to an Item that has the "Backorder in new Invoices" box activated (X). It will contain a "§" symbol next to a serialized Item.
The Item number column contains the unique Item number for each record.
The Description column contains the description of the Item.
Reason is a column to note the reason for the adjustment.
The Qty O/H column is the quantity in the "Quantity on Hand" field currently in the "Item" record.
The Adjust column lists the quantity to adjust for each Item.
The Adj'd O/H column is the sum of the Qty O/H and the Adjustment. It is the new Quantity on Hand.
The Highlighted Item Information is an area that fills in when an "Item" record is highlighted, in the "Listed Item Records" area. This is where the adjustment quantity and reason is typed.
BOM (Bill of Materials) button is used if the Item is made up of one or more components. In the "Item" record the components are designated. When this button is clicked, the first level components are taken out of the "Quantity on Hand" field in their respective "Item" records. The keyboard shortcut is "Command"-"*" for the "BOM" button.
When an adjustment is made to an "Item" record there is a record made of the change. You can see the change in a file named dInventory.
Location ID by Item # Sequence changes the location field in each "Item's" record. Each Item can have a location. Items on Invoices, Packing Slips, Pick Slips, and Sales Orders can be set to print in location order. This can be helpful in picking and packing Items. When this menu Item is chosen it assigns a location to each Item based on the alpha-numeric Item number.
The dialog box shown below, opens. To proceed with the action, click the "OK" button.
A process runs and the Production Splash Screen returns.
Estimate Reorder Point... is a procedure which calculates a reorder point and exports the information. This reorder point is a value calculated by the equation: qty sold ÷ number of days x lead time x a safety factor. The information can be used to modify the reorder quantity in the "Item" records. Upon choosing "Estimate Reorder Point" from the Item menu the "Search Editor" opens to select records. A dialog box then opens to name and locate the report. When" Save" is clicked, a dialog box opens. The default entry for the Safety Factor number is 1.5; however, it can be modified. As the procedure is run, a progress indicator is shown. The report is a text document that can be opened with any application that has the capability to open text documents.
Forecasting... opens another screen. This feature allows you to view Item information in a way to forecast needs for purchasing or assembling Items. This is very useful especially if you are using the "Bill of Material" (BOM) feature of CommerceExpert/WebClerk.
List Suggested Reorder is a menu Item which opens a window when chosen. This window gives you some options for locating Items which are low in quantity.
The database is searched using the following equation:
Qty on Hand + Qty on PO (Purchase Order) - Qty on SO (Sales Orders) < (is less than) Qty Min (Minimum) Stock .
In other words, the Search locates Items that need reordering.
There are some options for locating Items. You can locate Items related to a certain Vendor or Vendors.
The "Vendor Search" area in the upper left hand corner allows you to search by Vendor Account code, Company name, Phone number, Attention name or Zip code. The "Search" button allows you to open the "Search Editor" for more options in searching the Vendor’s file.
The Low by Vend and Ref by Vend buttons are to be used in conjunction with the Vendor highlighted in the Vendor list.
If the "Low by Vend" button is clicked, the Items that are in need of reordering for the selected Vendor are listed. If you want to see the status of all Items that are related to Vendor, click the" Ref by Vend" button. Each Item that has the Vendor designated in the "Item" record will be listed.
Another option for locating Items that are in need of reordering is to click the "Low Items" button. This locates and lists the Items.
The formula used to locate Items is:
(Qty on Hand) + (Qty on PO) - (Qty on SO) - (MinnQty) = (Low by).
The "Search" button allows you to open the "Search Editor" for more options in searching the Item file.
You can omit or select highlighted lines by using the Select and Omit buttons.
If you wish to highlight one or a group of lines and have them become the selection in your list, use the "Select" button. If you wish to highlight one or a group of lines and have them taken out of your list, use the "Omit" button. This is helpful when selecting Items to go to a Purchase Order.
When a selection of Items has been made, actions can be taken on the Items. At this point reports can be run and/or Items put on Purchase Orders.
To put an Item or group of Items on an existing Purchase Order, you need to type in the desired PO number and click the "Add to PO" button with the desired lines highlighted. This automatically adds the lines to the existing PO.
To create a new PO for the Item or group of Items, click the "New PO" button with the desired lines highlighted. All highlighted Items will be put on a new PO.
