Serial numbers are assigned to inventory Items when they are received into inventory on a PO.
Each serialized Item being received is assigned a serial number in this screen. This process is much simpler if a bar code wand is used. The serial number off the Item is scanned in while this screen is open.
The following instructions list the steps necessary to assign a serial number manually, using no bar code wand.
Enter the first serial number into the" Serial #" field.
Click on "Expand".
Complete the above steps for the required amount of serial numbers.
Select all serial number lines you have created.
Click on "OK". The numbers are now assigned. You are returned to the PO screen.
Invoicing Serialized Items
Serialized Items are placed on Orders just like any other Item. It is when a serialized Item is Invoiced (or shipped) that the system requires a selection be made from the serialized Items in inventory.
The "Serial Number" dialog box will appear upon Invoicing of a serialized Item. All available serial numbers are listed. Select the number(s) you are selling on this Invoice. This box will appear for each serialized Item being shipped. The serial numbers assigned can be viewed in the Line Item Detail dialog box for each serialized Item on the Invoice.
Tracking and Servicing Serialized Items
Each serial number assigned in the system creates a "Item Serial" Record. These records may be accessed through in "Item" Record > "Usage" Page. When the "Relate Files" command is executed, all serial numbers associated with that Item are shown.
The individual "Item Serial" Records may be accessed by double-clicking on the desired serial number.
This screen contains all information relating to the individual serialized Item. Example: In the lower area, the "Serial Action" Record was created when a PowerBook was received into Inventory.
"Serial Action" Records may be added or opened from the lower part of this screen. Each action taken on a serialized Item is recorded in a "Serial Action" Record. This allows for the complete tracking and reporting of service activities on a serialized Item.
