Preparing Orders for Bill of Lading
When an Order is at the stage where a Pick Ticket has been created and the Order has been picked in the warehouse. The Pick Ticket reflects the quantity of Items that can ship for the Order. A Bill of Lading needs to be prepared for the Order.
From the Sales Splash Screen, choose: Ords menu > Search by Order #…. Type the desired Order number found on the Pick Ticket. Click the “OK” button or use the “Enter” key to initiate the Search.
The Order opens.
Click on the “Invoice” button within the "Order" record. The" Invoice" record is created. The system automatically fills the Order and calculates the new quantity available in the inventory. You may have to modify the quantity shipped.
To modify the quanity shipped open the Invoice. Quantity shipped (Ship) and Back Ordered (BL) are displayed on the Invoice to the left of the appropriate Item.
Highlight the Line Item that needs modification by clicking on it with the mouse. That Line Items information enters into the Entry Line at the top of the "Line Item" area. Type in the correct ship quantity or other modifications in the Entry Line of the "Line Item" area. Continue to do this for each Line Item that needs to be modified. The inventory count will adjust automatically for adjustments in the quantity shipped, this may force the inventory to a negitive number if the physical "Quanity on Hand" and the system "Quanity on Hand" differs. When complete, click on the “OK” button or press the "Enter" key to return to the Order. Click the orders “OK” button or press "Enter" to complete the process and leave that Order. Continue this process until all Orders are processed.
When all the Orders have been created into Invoices and the quantities shipped are correct, the "Bill of Lading" needs to be printed.
To print the"Bill of Lading" locate the appropriate Invoice(s)
The "Bill of Lading" can pe printed for just one Invoice by opening that "Invoice" record and follow the same steps for printing multiple Invoices as shown below.
From the Sales Splash Screen, choose: Invs menu > Invoices in Period…. A dialog box opens for the entry of dates.
This dialog box defaults to “today’s” date. If this is appropriate click on the “OK” button or press the "Enter" key, if needed enter other dates then click “OK”.
A list of Invoices opens. From this list you can select or admit Invoices by highlighting a subset of the Invoices and choose Show Subset or Omit Subset from the Action menu. Once your list shows the correct Invoices, choose: File menu > Print Defined Reports….
A screen opens displaying all the reports/forms set up to be run with Invoices. Double click on the “Bill of Lading”report.
The "Printer" dialog box opens enter the number of copies desired for each "Bill of Lading" and select a printer. Click “OK” to initiate the printing process.
